The president's role is to preside at all meetings of this local PTA. They serve as an ex officio member of all the committees except the nominating committee. They coordinate the work of the officers and committees.
The president is responsible for working with the school administration to plan tentative dates for all major PTA events. Keep the website and its information up-to-date and current in coordination with the VP of Communication.
It is recommended that the President has previously served on a PTA Executive Board for one year.
First Vice President
The vice president(s) serve as aide(s) to the president; and perform the duties of the president in the president’s absence or inability to serve; if more than one vice president, they will preside in the order of 1st vice president, 2nd vice president, etc.
Vice President of Membership and President-Elect assume the following responsibilities:
Serve as an aide to the president
Run the yearly membership campaign
Maintain an accurate membership list that is accessible to the Executive Board
Perform the duties of the president in the president’s absence or inability to serve
Agree to become the president upon the expiration of the current president or should a vacancy in the presidency occur.
As part of the board, they attended all Unit Meetings and Executive Committee meetings
Second Vice President
The vice president(s) serve as aide(s) to the president; and perform the duties of the president in the president’s absence or inability to serve; if more than one vice president, they will preside in the order of 1st vice president, 2nd vice president, etc.
The second vice president shall assume the responsibility of Vice President of Communications.
Vice President of Communications:
Update the PTA section of the weekly school newsletter
Gathers the information for and composes the monthly PTA exclusive email
Generates images to use in newsletters & Facebook posts via Canva
Manages our Facebook page (creating events, creating posts to promote all things PTA, responding to comments if necessary)
Sends any async emails or Facebook posts if/when something comes up
As part of the board, they attended all Unit Meetings and Executive Committee meetings
The secretary shall:
Record and preserve the minutes of all meetings of EPiC Elementary PTA
Be prepared to read the records of any previous meetings
Preserve all records
Have a current copy of the bylaws
Have access to the current membership list as provided by the Vice President of Membership
Forward names and addresses of newly elected officers to the state office no later than March 31
As part of the board, they attended all Unit Meetings and Executive Committee meetings
The treasurer shall:
Submit the books for an annual financial review, and upon the resignation or removal of the treasurer or any other authorized bank account signatory;
Keep the record of the state and national portions of the membership dues separate from the record of the general funds of the local unit, and remit all state and national portions of the membership dues to the state office. All state and national portions are payable to the state office on the first of each month.
Submit a copy of the unit’s fiscal year-end report to the state PTA by December 1 of each year
Submit a copy of the unit’s annual financial review to the state PTA by December 1 of each year
Submit a copy of the required IRS tax form to the state PTA by December 1 of each year
Have custody of the funds of this local PTA
Maintain a full account of the funds of this local PTA
Make disbursements as authorized by the President, Executive Board, or EPiC Elementary PTA in accordance with the budget adopted by this local PTA
Have checks signed by the Treasurer and President
Is charged with keeping a full and accurate account of the receipts and disbursements in the books belonging to the EPiC Elementary PTA
Provide a financial statement at each Executive Board meeting and General meeting
Present an annual report of the financial condition of the organization
Be responsible for preparing or having prepared IRS forms at the proper time
Ensure year audit is completed by financial review committee
